What does Practice Better cost for a solo cash-pay practice?

Practice Better costs $35 a month on Starter, $69 on Professional and $99 on Plus for one practitioner billed monthly, checked on November 5, 2026¹. A US practice also pays 2.99% plus $0.30 on each online card payment (3% plus $0.30 for American Express). So 20 sessions a month at $160 cost $1,639.20 a year on Starter by our calculation^{1, 2}.

What are Practice Better's monthly prices?

Team costs $155 a month for 2 practitioners, and each extra practitioner costs $50 a month¹. A solo practice does not need it.

The plan cards on Practice Better's pricing page show what annual billing saves: $120 a year on Starter, $84 on Professional and $120 on Plus¹. The comparison table on the same page lists Professional at $59 a month billed annually. That does not match the $84 saving¹. Check the annual price at checkout before you pay for a year.

Starter leaves out programs, online courses, group sessions and SMS reminders³. If you run a weekly group or a fixed-date course, Professional at $69 is your lowest plan¹.

What does a year of Practice Better cost a solo cash-pay practice?

Card fees cost more than the plan once you see clients every week. Practice Better Payments charges 2.99% plus $0.30 per online payment with a US card². American Express costs 3% plus $0.30². On a $160 session that is $5.08: 2.99% of $160 is $4.78, plus $0.30². There is no setup fee or monthly fee for payments².

The table is our calculation from Practice Better's prices^{1, 2}. It adds 12 months of the plan, billed monthly, and $5.08 in card fees for every $160 session paid online. It leaves out add-ons, SMS credits and tax.

Card fees alone come to $1,219.20 a year at 20 sessions a month and $3,657.60 at 60. At 60 sessions they cost more than four years of Professional. With annual billing, Starter at 20 sessions a month comes to $1,519.20³.

For in-person payments on Stripe's terminal reader, a $160 payment costs $4.37 instead (2.7% plus $0.05). That saves $170.40 a year at 20 sessions a month². An American Express card costs $5.10 on a $160 session online².

To use your own numbers: multiply your session price by 0.0299, add $0.30, and multiply by the sessions you charge in a year. Then add 12 months of the plan.

What happens when you pass 10 clients on Starter?

Starter holds 10 clients and Professional 300¹. Your 11th client needs Professional, which costs $34 a month more, or $408 a year¹.

Practice Better's own pages disagree on which clients count. Its plan comparison speaks of "active clients"³. Its General FAQ, updated October 27, 2026, says the limit counts every client stored on the platform, "active or deactivated"⁴. That FAQ also gives Professional a limit of 200, where the pricing page says 300^{1, 4}. Ask Practice Better in writing which number applies before you plan around it.

At the limit, Practice Better suggests an upgrade⁴. Or you export the records of past clients and then delete them from the system⁴. You can downgrade only when your clients fit the lower plan's limit⁴.

Which add-ons and fees can come on top?

SMS at 5 cents adds $12 a year for 20 reminders a month on Professional¹. Two card details change the yearly total. Practice Better keeps its processing fee when you refund a client². And online payments run only through Practice Better Payments or Square⁴. New users cannot connect Square from February 1, 2026⁶.

What should you know before you sign up or cancel?

The free trial runs 14 days on Starter, Professional and Plus, and 30 days on Team⁷. You need a valid credit card to sign up. Practice Better charges it when the trial ends, at the price of the last plan you chose⁷. During the trial you cannot import clients or buy SMS credits⁷.

Practice Better states that it is "unable to offer refunds at this time"⁷. There is no contract, and you can cancel at any time¹. A paid account stays open until the end of the billing period, and your clients lose portal access on that date⁸. A trial cancellation takes effect at once⁸.

If you take a break, Practice Better offers a pause for $10 a month that keeps your data⁸. With 3 clients or fewer, you can move to the free Sprout plan instead⁴.

When does another tool cost less?

Stay with Practice Better if you run programs, courses or groups between sessions: Professional and Plus carry those¹.
